Tools and software

The tools I use to run my business

If you run a solo, heart-centered business, these are the tools I’d point you to first: the software I use myself, plus a few my clients prefer. Each one comes with a line on what it’s for.

Ask my AI which tool fits
Where people find you

Website, email and booking

Where my online home lives, and how people stay in touch or book time with me.

A few of these are affiliate links. If you sign up through one, I may receive a small commission at no extra cost to you. I only list tools I use myself or that my clients love.

Squarespace Domains

Where I register my domain names.

Kit

Runs my email list, and it’s where my courses are sold.

Substack

Home of my podcast and my monthly newsletter.

Cal.com

How clients book private sessions with me.

Help from AI

AI and automation

The AI I work with every day, and the services that connect my tools to each other.

Claude

My main thinking partner. Claude helps me figure out which automations are worth building, and then helps me build them.

Delphi

Runs my AI clone, trained on my public teaching. Ask my AI which tool fits.

ChatGPT Images

What I use for my most important AI images, like course covers.

Zapier

Links tools such as Google Sheets and Gmail together, so more of the busywork runs on its own.

Want to set up AI the way I have? My course How I Set Up My AI shows you how, step by step.

Calm, focused days

Productivity

The small set of tools that keep my days calm and focused.

Focusmate

Virtual co-working with a partner, for when I want some accountability.

Todoist

Task management that’s fast and easy to use.

Google Voice

A separate phone number, to keep business calls apart from personal ones.

JoyPro Timer

A timer you can screen-share during co-working sessions.

Bookkeeping

Money

Easy bookkeeping, and a healthier relationship with money.

Tiller

What I use for my bookkeeping in the USA.

YNAB (You Need A Budget)

A budgeting app some of my clients prefer.

Xero

Bookkeeping for Europe and other regions.

Healthy Money

My articles on handling money with integrity, and with a sense of enough.

Sharing your voice

Recording and podcasting

How I record what I teach, and turn the best of it into a podcast.

Zoom Clips

How I make screencasts now. It’s built into Zoom, so there’s no extra subscription.

Vocaroo

For recording a short bit of audio in seconds.

If you’re considering a podcast, my advice is either don’t start one, since growing listeners is hard, or make yours so low-maintenance that it’s easy to keep going.

My podcast is my best YouTube videos, published on Substack. AI now handles the uploading for me.

Hearing from people

Images and surveys

Lighter images for the web, and ways to hear from the people I serve.

Compressor.io

Shrinks image files so your pages load faster.

Google Forms

Free surveys and forms. YouTube has plenty of tutorials.

Typeform

A more polished survey option that my clients like.

Not sure which tool fits?

Ask my AI about your situation. It’s trained on my public teaching, so it can talk through your options with you.
